The changes are cosmetic and include

  1. the standard header that we would like all proceedings papers to have
  2. removal of PSN number footer
  3. the addition of page numbers

Click here for more detailed instructions and a format example. This file contains important information about submissions. This is particularly critical for LaTeX users. It is vital that LaTeX users submit the slac_one.rtx file along with their LaTeX source file.

After the arXiv has accepted your paper, you need to check that the PDF file they have looks like this file.

Proceedings will be produced using SLAC's eConf Proceedings Archive (via arXiv).

Instructions:

1) Document Format

Proceedings should be in 1-column format.
Templates are available for Word and LaTeX.

Please note that the PSN number is for internal bookkeeping and we will not use one.
Please ignore the PSN number. Instead we will use the arXiv number to track the submissions.

Plenary talks should be limited to 10 pages.
Parallel talks should be limited to 4 pages.
Poster write-ups should be limited to 3 pages.
(A separate web page will be provided by 1 September for those simply wanting to submit an electronic version of their poster.)

The eprint arXiv accepts a wide variety of formats, including PDF, which is handy for people using Word. Note, though, that it will reject PS or PDF files created using TeX/LaTeX and ask for the source files.


2) File Size

The eprint arXiv will reject files over 650k. This problem generally occurs if the paper contains a lot of large figures. Usually large figures are the result of converting jpegs or scanned images to PS files. To avoid this problem, submit smaller graphics, with lower resolution. There is help on how to do this at the eprint arXiv Web site. In principle, you can provide a link to your Web page in the arXiv Comments section pointing users to better quality pictures.

Excessively large figure files make it more difficult to process a proceedings volume as it creates a bottleneck for Web transmission, so it is worth some effort to make your figures smaller.


3) Submission to the archive


All papers for the proceedings of this conference must be submitted to the eprint arXiv (http://arXiv.org ). For first time users, general submission help can be found at the eprint arXiv site. The web upload is particularly easy to use, from a PC, Mac or on Unix. You will receive confirmation email upon every step of the process, if you don't, it means you still have more to do. The ultimate goal is to see the full text of your paper on the arXiv.org server with an eprint number in the form "arch-ive/yymm.nnnn".

When filling out the required information form, please write "ICHEP08" in the comment field.

Always include the middle initials of the author, e.g., Jane Q. Physicist. This will help simplify tracking.

Example:

Authors: Jane Q. Physicist and J.R.B. Goode.
Comments: Parallel talk at ICHEP08, Philadelphia, USA, July 2008. 4 pages, LaTeX, 3 eps figures. Higher res figs at http://www.home.edu/~goode/CIHP/.


4) Submission to the ICHEP08 Conference page

After you receive your eprint number, you will need to submit it (the yymm.nnnn number) to the ichep08 web page, linked here.

This will officially register your paper for the proceedings.


5) Deadline

The deadline to be included in the proceedings is 20 October 2008.
